If you have a business Box account, then it can meet the need of their business. Our use is mostly for collaboration, especially on the documentation. They have competition with OneDrive. What is most valuable? The collaboration of the solution is good. What needs improvement? If you want to delete something in Box, you have to do it manually, one by one. That was my recent experience. They might have a bulk delete, but I could not find that option. If you want to delete something, you have to go to each and every file and delete it. For how long have I used the solution? I have used Box within the past 12 months. Which solution did I use previously and why did I switch? I have used Dropbox. What's my experience with pricing, setup cost, and licensing? We are using the free version of the solution. There is a free version and monthly and yearly subscriptions available. What other advice do I have? I recommend this solution to others. I rate Box a nine out of ten. Which deployment model are you using for this solution? We are using the latest Box Enterprise. We use it to collaborate securely with customers in controlled conditions. The general use cases are really just customer collaborations. It might be in a financial institution working with loans or selling loans. With low interest and COVID, most banks are really pushing the refinance functionality, and it is very important for banks and credit unions and even just loan brokerage companies to be able to securely, easily, and safely get information to and from their customers. Most of the time, email is not the way to do it because either people don't know how to use email securely or the files are too large to be sent via email. That's why these file-sharing collaboration things are really popular and should be really popular with the financial industry. This is a huge use case right now. What is most valuable? Governance and ease of use are why I think a lot of people like Box, including ourselves. Basically, we're concerned about what information is being sent to Box, so we use a lot of the Box governance features to make sure that what is being sent to Box is appropriate. If it is not appropriate, it is not allowed to be sent. It is also pretty easy to use. It is the easiest to use for customers and for technologists. What needs improvement? I haven't really come across a case where we're not able to use it for what it is, so I don't really have anything holding us up or any customers holding us up at this point that I know of. There are always some limitations, but as a technologist, I just live with them, and there is always room for improvement, but I don't have anything quantifiable. For how long have I used the solution? I have been using this solution for a couple of years. What do I think about the scalability of the solution? I have seen cases where the number of people using it in an organization goes as high as 1,000. How are customer service and technical support? Their support was very good. We very rarely need support, but when we did engage them, they were quick to respond and very accurate and complete. Which solution did I use previously and why did I switch? In addition to Box and ShareFile, we also use a product called Egnyte. It is very similar to Box. I would say it is on an equal level with Box. Both Box and Egnyte are better than ShareFile. We are in a reseller and consulting role for some companies, and some of our customers wanted to go with Box because they're a larger company. It was basically just a perception of financial stability. It was not that there was a concern that Egnyte wasn't stable. It was just a concern that they were a much smaller company. They perceive a large company as a lower risk. What's my experience with pricing, setup cost, and licensing? They are very price competitive when pushed. Initially, they come out with a standard list price, but they are willing to be very competitive. The Box price was pretty much equal to or lower than the Citrix price, and Box has more features. What other advice do I have? We like this solution, and we prefer to work with the Box consulting team. Basically, for a large company, we would recommend that people work with their professional services just to get things set up quickly and completely. It is possible to do this on your own, but it is faster if you have help from Box. Their pro services are very good. I would rate Box an eight out of ten. Eight is about as good as somebody is going to get. There is always room for improvement, but I don't have anything quantifiable to make it a ten. Valuable Features: The features I have found to be most helpful over other cloud storage ( https://www.itcentralstation.com/categories/cloud-storage ) platforms are: 1) Collaboration - just not that it exists, but it is easy and user friendly. Allowing data that is necessary to be worked on to be brought to the surface. 2) Security - focus on compliance, encryption, enterprise grade management. 3) 3rd Party Integrations - allowing for Box to truly be a platform to be used with other software. Improvements to My Organization: Getting data from various locations all over the world into our international headquarters so that we can make better decisions more quickly and get information to our stakeholders. Room for Improvement: There are still some management features I would like to see improved, giving more control to IT. There is a good bit here, but could use a bit more. Rated 5 out of 5 by from A simple end-user experience that offers good options for access control What is our primary use case? We primarily use Box for sharing files within our group. What is most valuable? The most valuable feature of this solution is the set of security options that can be set when sharing files with a group. There is a lot of flexibility in that you can assign specific people read-only permissions. It can be done at the object level, or the folder level. The application is very light in terms of uploading and downloading files. With respect to the end-user experience, this is a very simple solution. What needs improvement? Better integration with other solutions is needed. Some use cases require the user to integrate with a document management system, or they may want to do some sort of workflow management. For example, if they want to maintain an integrational ERP system then different departments may have different requirements. The legal team will require a different set of controls than the HR department, and they want to have some sort of workflow as a process. I do these things manually because they are lacking in this product. If an ERP needs a file stored in Box then it should be able to download it directly. I would like to see an indexing system because without knowing the filename, it is difficult to find what I am looking for amongst thousands of files. It would be nice to have some sort of metadata. For how long have I used the solution? I have been using Box for five or six years. What do I think about the stability of the solution? My team has had no issues in terms of stability. My use case is really simple and straightforward. What do I think about the scalability of the solution? With perhaps 200,000 users, we have had no issues with scalability. How are customer service and technical support? I have not been in contact with technical support. Which solution did I use previously and why did I switch? We use several other tools for content management such as Documentum, Alfresco, and SharePoint. The choice of tool depends on the use case. What about the implementation team? We have our own in-house team that deploys this product. What other advice do I have? My advice to anybody who is considering this type of solution is to first formulate the use case. Box has certain limitations, but it is very plain and easy to use. If you need collaboration in terms of document management then it provides a simple interface that offers differing levels of granularity in terms of access control. This is a good solution but it does not address all of the use cases for a content management system. I would rate this solution an eight out of ten. How has it helped my organization? File sharing for projects and other unique activities have been greatly enhanced. What needs improvement? Maturity of the enterprise security around user management. For how long have I used the solution? We have been using this solution between two and five years. What was my experience with deployment of the solution? There were no deployment issues. Box consulting services provided an excellent, repeatable process to follow. What do I think about the stability of the solution? There were no stability issues. Core functionality remains solid. What do I think about the scalability of the solution? There were no scalability issues. How is customer service and technical support? Customer Service: I would give customer service a rating of 7/10. Most support organizations have room to get better. Technical Support: I would give technical support a rating of 7/10. Which solutions did we use previously? We had a previous solution and we still use it. We provide options for users to select the best of breed of two solutions. How was the initial setup? The setup was mostly straightforward. Valuable Features We have gotten the most use so far from content storage, but other areas (collaboration, platform) are of keen interest for us. Improvements to My Organization It has taken us from archaic means of document storage (local server shares) to a completely cloud based and mobile environment. For the first time ever, our sales professionals and managers in the field are able to access company data from anywhere at any time. Use of Solution We have been using Box ( https://www.itcentralstation.com/products/box ) since June 2015. Deployment Issues We did, with some password reset struggles which appear to be in the rear view. Stability Issues We have experienced 2 major outages since deployment and both were resolved within hours of the outage occurring. Customer Service and Technical Support Customer Service: Customer service is top notch with having a dedicated customer success manager assigned to the account. Technical Support: Technical support has some room for improvement, but nothing insurmountable. Previous Solutions We did not use another cloud solution ( https://www.itcentralstation.com/categories/enterprise-content-management ), but we did use on-premise storage. Initial Setup The initial setup was as easy as it could be. The Box quick start process is very well thought through and well delivered. Implementation Team We implemented though Box quick start, the level of expertise was very high. ROI Too soon to have a solid answer here, but all signs point to a very positive one. Improvements to My Organization: File/Folder collaboration has allowed our users to work together, eliminate silos and reduce unnecessary email. Room for Improvement: The Search functionality needs to be more robust and behave like Google Search. I wish that the Box Search functionality would use the machine learning technology found in Google Searching to perform/track user searches. Currently, when I perform a search in the Global Search toolbar in Box, there is the option to refine my search through filtering by Folder, Owner, Type, and other attributes. Rated 5 out of 5 by from Since everyone has access to it, we can expect everyone to have access to whatever we put in it. Valuable Features: Box thinks of features before I realize I want them! I love the email upload tool, Box notes real time editing, and integrations with Microsoft Office. Improvements to My Organization: Box has given us a single tool to rule them all! Since everyone has access to it, we can expect everyone to have access to whatever we put in it. Also has reduced the use of emailing attachments which is a time saver. Room for Improvement: Box Sync is still a bit buggy and it is difficult to get used to not being able to organize your view of folders as it is determined by the owner of the folder. Easy to use, user friendly tool. Most amazingly it's integration with Office 365 (online) is one of the best features it has other than integrating with other with apps like Salesforce, etc. The widgets feature is amazing to provide a link to upload documents to the external vendors. The drag and drop feature for uploading multiple files at ones. Box capture will allow users to take photos of products and video recording for trainings and store fronts, etc. This uploads directly to box.com. No need to worry about storage space with the enterprise version of box.com. With this tool we can improve: * Collaboration between regional partners and US associates * Document collaboration between external vendors with internal associates for free. I would like to see the below additional features: * Disposition features, record management and retention policies in this application. File sharing, authorization on the back, its ease of use and reliable uptime performance are valuable features of this solution. Better workflow automation. Get notification whenever new files are uploaded. Comments can be attached as to gain attention. Design is great as our users work seamlessly to upload, share and organize their files. Compatibility with all browsers are also key advantages. How has it helped my organization? Now, we are able to monitor the usage of our users, get usage tips and get higher user satisfaction as compared to our own file sharing system. For how long have I used the solution? I have used this solution for four months. What do I think about the stability of the solution? The upload speed needs improvement. What do I think about the scalability of the solution? There were no scalability issues. How is customer service and technical support? The support is great and we are very satisfied. Which solutions did we use previously? We used Dropbox before but switched to Box, due to its string support for corporate use. How was the initial setup? The setup was very easy and the support team had engaged us right from the start. What's my experience with pricing, setup cost, and licensing? Better sign a full year's contract to get a discount. Which other solutions did I evaluate? We looked at Dropbox and ownCloud. Valuable Features: The ease of using Box on multi-platforms, including my phone and tablet, along with the collaboration features means I've been able to use it with my family (including my non-tech-savvy parents) for simple sharing, as well as with colleagues for team collaboration. Room for Improvement: The security settings are such that if I have a folder with subfolders several levels deep, whatever security setting I have for the parent folder gets inherited at all the subfolders. This has been limiting. Deployment Issues: We've had no issues with deployment. Stability Issues: We've had no issues with stability. Scalability Issues: We've had no issues with scalability. Improvements to My Organization: Flexible workforce. Our employees can access content from anywhere, no-vpn, no special apps, no extra authentications. Room for Improvement: Integrations, the more integrations the better. Office ( https://www.itcentralstation.com/products/office-365-enterprise ) + Outlook are great but we need more like it. Use of Solution: 3 years. Deployment Issues: User education in the first year was our toughest challenge. Stability Issues: No Scalability Issues: No, scales excellently. Valuable Features Sharing and collaborating across files and folders has been a massive game changer. Also the ability to set Metadata around our content is amazing! Improvements to My Organization We've realized that instead of a process taking months, such as the verification of a file, it now takes a matter of days or in some cases just hours! Room for Improvement I would love to see the ability to invite collaborators extended to a file level, not just the folder level. Use of Solution Since 2013 Deployment Issues No, the Box staff helped answer all manner of questions! Stability Issues None, very stable. Scalability Issues It is easily scalable, we started with a few users and worked our way up. Only minor changes to our folder structures was needed. Customer Service and Technical Support Customer Service: I love the staff at Box, they are ALWAYS helpful and able to provide personal support and help. Technical Support: Very efficient and quick Previous Solutions We were using Sharepoint- what a disaster! Initial Setup Very straightforward and well let out by the staff at Box. Implementation Team We did it all internally, it was a lot of work but it was all we had available at the time. ROI Our main ROI surrounds time, we have reduced turn around times drastically. Pricing, Setup Cost and Licensing The pricing may seem steep at first, but delve into the features and you'll soon realize it is incredible value for what you get. Other Solutions Considered A few others, but none met the business need we had. Other Advice Box is worth is, change is always uncomfortable but our staff love Box! Rated 5 out of 5 by from We use Box for cloud storage, allowing us to focus on the service instead of maintaining infrastructure. What is most valuable? First, the device-agnostic cloud storage and collaboration. When we first deployed Box, we managed all of our own storage. Using Box for cloud storage allows us to focus on the service and maintaining infrastructure. Box has a number of nice features such as mobile apps for access to files; ability to collaborate easily with anyone, on campus or off; special collaboration and sharing features, such as emailing attachments to folders, embed widgets to upload or interact with files, and more. The introduction of Box Drive makes using Box on the desktop a joy. How has it helped my organization? Faculty, staff and students can collaborate with their peers on and off campus. Members of the University community have found many creative ways to use the platform. In some cases, they were able to really streamline processes and in others they were able to do things they never could before. Some units have migrated their content and processes from on premises storage to Box, saving money and time, and putting the power of collaboration into the hands of the users instead of requiring admin intervention. What needs improvement? Support for larger files. Improvements in speed - Box's high level of security impacts performance, especially when compared with other similar services. While it's understandable, it's annoying. For how long have I used the solution? We've used it since 2012. What was my experience with deployment of the solution? Nothing major. We were early adopters of Single Sign On with Box, so we had to do some heavy lifting there. However, with the work we and others have done with Box, this has become much simpler and more straightforward. We deploy the service as an opt in, so we did not need to do a broad scale forklift of content from old systems to Box. What do I think about the stability of the solution? Box has been very stable for us. Only rarely are there any performance issues and these are usually degradations of a particular function. What do I think about the scalability of the solution? We've deployed it campus wide and currently have nearly 100K active users - a very large deployment. We have not had any issues with scalability from the user perspective. That's been rock solid. However, we have had scale issues with the admin console. With our number of users, sometimes reports can't complete or queries take a very long time. Box is addressing that now with new reporting technology. How is customer service and technical support? Customer Service: Excellent. Our dedicated Customer Success Manager is very attentive and very committed to giving us a good experience with Box. Technical Support: Once you reach the right people it's excellent. Like with many help desks, our scale means that we often have more familiarity with the product then their frontline help desk staff, so sometimes it's a challenge to get to the right level. Which solutions did we use previously? This was our first foray into cloud storage and collaboration. How was the initial setup? As I mentioned above, SSO was tricky to set up. We were able to get it all going in just a few months, though. What about the implementation team? In house, working directly with Box. What's my experience with pricing, setup cost, and licensing? Our pricing and licensing is excellent. I'd tell all Higher Ed customers to talk with Internet2 for excellent pricing and support. Which other solutions did I evaluate? We worked with a team of other universities and Internet2. That team explored the cloud storage market at the time. Box was the best offering we found. What other advice do I have? Leverage the existing community of expertise out there. Ask the sales rep to put you in touch with other customers. We're happy to talk with folks looking to deploy Box. Rated 5 out of 5 by from There is no easier way to publish a document to the web. What is most valuable? * IFRAME Widget (To publish documents on another web page). Most of the best CMSs don’t offer any good DMS features. Not even many products as an add-on or plug-in. So why not take one of the best DMS (box) on the market and integrate (embed) the functionality for publishing public documents? Or even better, integrate box as a secure extranet for your business. * Office Integration. The full integration into the Microsoft Office products is just perfect. * Versioning (Version History). This feature allows previous versions of files to be stored all in one place, allowing you to quickly find and restore previous versions of your content. Or even better, real-time co-authoring in Box for Office Online * Document Preview. Previewing and collaborating without ever having to open a desktop application or download the content to a computer. How has it helped my organization? There is no easier way to publish a (new) document to the web (via the IFRAME widget). Just put the file in the right place! What needs improvement? Data privacy, regarding where to store your data: Offering several transparent(!) options (where to store my data and whether to sync back or not and where to sync) regarding the local law situations (USA, EU, Switzerland!) would increase the credibility of a US based company (after NSA ‘snooping’). In Switzerland, many firms of different sectors face strict regulations around where their files are stored, leaving them with a limited set of options, and keeping many of these enterprises stuck on legacy infrastructure. Box Zones is a good initiative or start, but its not perfect at all. For how long have I used the solution? I have used Box from 2012 until today. What do I think about the stability of the solution? We have not had stability problems. What do I think about the scalability of the solution? We have not had scalability problems. How is customer service and technical support? I rate support 8/10. Which solutions did we use previously? We used Dropbox, SugarSync, and Google Drive. How was the initial setup? Setup was pretty much straightforward. What's my experience with pricing, setup cost, and licensing? A business account has a minimum of three users. If you are more than three people in-house, go for the Enterprise version. All the external users are free of charge. Which other solutions did I evaluate? We looked at Dropbox, ownCloud, Google Drive. What other advice do I have? Check first all the possibilities where to store the data. (Where are the data servers located and how are they synchronized/mirrored.) What is most valuable? * File sharing with collaborators not on the same domain with offline access from multiple devices: I work on many projects that are multi-organizational, such as with customers, suppliers, or acquisitions. * Being able to securely invite, share folders, do version control, and comment on files so quickly and easily without using unsecure large email attachments is a major productivity gain. How has it helped my organization? We have complex bids with tight deadlines. This involves partners/suppliers and key staff who can work offline, such as on the train, and then sync up their files later when they have WIFI coverage. This allows faster responses and stronger collaboration. What needs improvement? Tasks and comments could be easier to see, report, search, and manage. I think it would benefit from a task full screen with list and sort functionality, then similarly a comments screen with list/filter/sort. So, rather than looking at individual documents and drilling down to see where comments have been added, you could, for example, view all comments added to documents in a specific folder since a set date, such as last week. This would be particularly useful on collaboration projects, as you could easily, on the first page, see all of the comments in that project folder. You could, based on you interest, click through to the document where there was a related comment. For how long have I used the solution? We have used this solution for seven years. What do I think about the stability of the solution? There were no stability issues. It was consistently reliable. What do I think about the scalability of the solution? There were no scalability issues. Many GBs are stored with 100 guests/clients/suppliers without any issues. How is customer service and technical support? I hardly ever require support. It just works, which is one of the strongest things about it. Which solutions did we use previously? We evaluated SharePoint ( https://www.itcentralstation.com/products/sharepoint ). It was cumbersome to manage, configure, and add new projects. Frankly, it is poor for adding external partners, for syncing, and using across multiple devices (iPhone, iPad, and laptops). How was the initial setup? The setup was simple. The only area to learn, as it is different from Active Directory, is how security inherits down folders. What's my experience with pricing, setup cost, and licensing? It is expensive per head, as you need the enterprise license to get full security and tools. So negotiate a discount! Which other solutions did I evaluate? We evaluated SharePoint ( https://www.itcentralstation.com/products/sharepoint ) and Dropbox ( https://www.itcentralstation.com/products/dropbox ). What other advice do I have? Separate internal folders from externally shared ones and lock down the internal security so that staff can't invite non-domain users to internal folders; nice, clear demarcation. I truly believe that Box should have a box consulting division which would really enable customers who do not necessarily want to work with ISV's. I mean a division who could really help write business specific apps. For how long have I used the solution? 9 months What was my experience with deployment of the solution? Not really What do I think about the stability of the solution? Not until now What do I think about the scalability of the solution? No issues encountered so far, except for large files (we have some 50GB+ files who we now have to split up How is customer service and technical support? Customer Service: Great! Technical Support: Technical support people really know their stuff, Great service. Which solutions did we use previously? The ability to collaborate around data anywhere, anytime is the most powerful features of Box. How has it helped my organization? The word Box has become a verb at Morehouse College. The Students, Faculty and Staff are constantly pushing the limits of the Box.com platform by finding ever more creative ways to use it! One of the greatest things is that they have not hit any limits. What needs improvement? Like all cloud platforms, there are always areas of improvement around sync to local devices. We are very EXCITED about the soon to be released Box Desktop for streamed file content. We are looking to beta the tool! For how long have I used the solution? We have been on the Box.com platform for almost three years. What was my experience with deployment of the solution? We initially tried a low tech approach to our data migration that failed, too much data to simply push over the internet; in comes SkySync to the rescue. We used SkySync to migrate files and permission from our Windows fileserver to the Box.com platform. What do I think about the stability of the solution? No. What do I think about the scalability of the solution? No. How is customer service and technical support? Customer Service: Box.com is one of our Premier Technical Partners! Technical Support: They take ownership of any issues, and work them quickly to resolution. Which solutions did we use previously? We were complexity on premises, prior to our move to Box.com How was the initial setup? The more you plan the better your migration will go, you must pay careful attention to the differences in permission structures. What was our ROI? Have not run detailed numbers yet, though we plan to. The reduction in risk alone on PII, HIPAA and FERPA will be huge factors in our ROI calculations. What's my experience with pricing, setup cost, and licensing? I'm in Higher Ed, so we purchase through Internet2-Net+. I absolutely recommend going that route for Higher Ed customers. The editable features and upgrading capabilities are great. You can work on a document online and save it online. The versioning is a very attractive feature. You can check the updates that were made to a document, and trace which edits each team member made. I also like that it prevents updates from occurring while someone is using it. What needs improvement? I believe there is still a desktop version; I used to use it in the past. If it's still in use, there should be a Microsoft Office plugin because most of the shareable documents are generated, represented, or displayed in Microsoft Office. If there was a plugin that added some sort of toolbar in Office, that would be great. Most of our digital content is now shareable. We can share a post on our Box account from Facebook. We can share a tweet from Twitter on our Box account. For this reason, it needs to be more viewable. Every website has a photo or some sort of location displayed on its website. You can find a logo for YouTube and Facebook and Insta and Twitter. You should be able to do the same with Box. For how long have I used the solution? I have been using Box since 2013. What do I think about the stability of the solution? Box is very stable and secure. What do I think about the scalability of the solution? Box is quite scalable, they offer several types of subscriptions. There's a free version that allows you to use it with almost full-feature access. We use this solution to store and share our company material between sales, support, and other internal departments. We have a cloud-based deployment. What is most valuable? The first thing that we liked about this solution is that administrators do not have access to private folders. This allowed us to set up folders for our HR and finance departments, as well as the CEO, which are not shared with any of the other administrators. What needs improvement? I would like to see improvements made in the ability to integrate with other online sharing systems. For example, it has the ability to use both Google Suite and Microsoft Online for sharing, but there are improvements that need to be made in both. This is the most important feature for us right now. Some of the users that we have had come from the Google Docs environment found it a little complicated to understand how the Box sharing works. For the others, it was pretty straightforward. For how long have I used the solution? I have been using this solution for the past six years. What do I think about the stability of the solution? We have not had any issues with stability. What do I think about the scalability of the solution? Our contract gives us unlimited storage, and over the years we have increased from two hundred to eleven hundred users. We have not seen any degradation in performance with the users that have been added, so it seems to be scaling well. How are customer service and technical support? For the most part, the technical support for this solution is good. On occasion, we get three answers, but I think that the support that we've had has been good. If you previously used a different solution, which one did you use and why did you switch? Prior to this solution, we were using something called StarTeam. It is more of a source control solution, and not really a file management solution. It was much more complex to use. It was working well for the programmers, but any of the other teams had difficulties. The move to Box was relatively straightforward. How was the initial setup? The biggest concern that we had during the setup process was figuring out the best folder structure to create. Once we were past that, it was pretty straightforward. Our deployment took approximately two months and we had about two hundred users at the time. What about the implementation team? Our in-house team, which was mostly myself, handled the deployment. What's my experience with pricing, setup cost, and licensing? The pricing of this solution is better than Dropbox. Which other solutions did I evaluate? When we chose this solution we were also looking at Microsoft SharePoint. However, at the time it was pre-cloud and we weren't interested in setting up the SharePoint storage system. The reason is that we are dispersed over several continents and time zones, so having it on-premises was a major concern. Basically, that was the only thing that we looked at, at the time. We have since compared it to Dropbox, but the pricing was much more expensive than what we were paying for with Box. We are always looking for better solutions if they exist. What other advice do I have? This solution has evolved and improved over the past six years. Originally, we had some issues with locking files when somebody was using it. This has been improved. Also, we had a lot of issues with duplicate files because of the fact that two people were opening the same file and modifying it. We ended up having two versions of the same file and we needed to manually merge the changes that were made in both. This is something else that has improved a lot. The suitability of this solution really depends on the needs and requirements. Some of the former Google Docs users found the sharing complex, so it depends on where you are coming from and what you are looking to do. The biggest lesson that I have learned using this solution is that some people assume it's very simple to understand the pointers. However, there are some important things to understand with respect to the differences between how to share a file or folder, and some people find it a little complicated to use. It's really a matter of a five-minute instruction, and then they've got the right answers and can use it better. I think that the most important thing is to communicate to the users how to differentiate the best way to use it so that they understand the idea behind it. Also, to explain to people that there's a lot of independence, but you need to understand the use case to do it correctly. I would rate this solution an eight out of ten. For example, if a call is received when we are out of the office, we can use Box to patch in and collect the data, off-site. For mobility purposes, It is better than SharePoint. Within our company, there are just over 50 employees using this solution. We use it frequently for documentation transfer. What is most valuable? Box is very user-friendly; more so than SharePoint. What needs improvement? Sometimes, their website doesn't work properly. It could be improved with a better user interface. The UI should be faster. Sometimes it lags when switching between documents. Sometimes it is compatible with our other devices, but sometimes it's only allocatable to use in the proper way. It's not really optimized for high compatibility with other devices. For how long have I used the solution? I have been using Box for six months. What do I think about the stability of the solution? The stability is good. I had never experienced any issues with it. What do I think about the scalability of the solution? We have a limited document size (no more than 50MB) so we don't have any scalability issues. How are customer service and technical support? If I have certain files that I need to access from multiple places, I upload them to Box. The other use case is as a sharing mechanism. When I have large files that cannot be attached to an email, I upload the attachment to Box, and then I just share the link. I use it as a sharing mechanism. The next use case is collaboration. For example, if I have an Excel spreadsheet that I'm updating and I want someone else to update it as well, I share the link with that person so that he can update the sheet on his end. The beauty of Box is that you don't need to download the document on your computer to edit it and then upload it again. You can edit the content while the document is in the cloud. What is most valuable? I like the ease of use. What needs improvement? The room for improvement is in the area of integrations. They need to establish more integrations, especially with Office 365 and Outlook. For how long have I used the solution? I've been using Box for more than five years. It's a cloud solution. The solution is scalable. How are customer service and support? In my experience, support manages metrics instead of managing the solution. We had a specific department for information security and the person who handled that is no longer at the company, however, the head of that department was very adamant that at that time Box was the most secure option. He's the one that implemented Box for his department and we continue to use it to stay secure. How has it helped my organization? I've recently started using it in conjunction with another product that I use, which is Smartsheet. It incorporates very well with that. It's just made it easier to share documents in a secure fashion. What is most valuable? It is a very user-friendly product. The solution is stable. Technical support and their sales reps are helpful. For me, it's very easy to navigate whether I'm in my email, whether I'm in my Smartsheet or SLAM. It's just straightforward to navigate throughout so that I can get my documents, make changes and load them back without any complexity. What needs improvement? What I get from some of the feedback is they're not sure about the versioning and the downloading, how you download it, and make sure the changes are reflected back in Box. That's more of a training issue rather than a product issue. You have to deal with a bit of a learning curve. They could integrate better with other platforms. For how long have I used the solution? It was mainly used by one department and then spread out over time. Maybe we've had it for five to six years. What do I think about the stability of the solution? The solution is stable. I myself have not noticed any problems, and I haven't heard any problems reported to IT. There are no bugs or glitches and it doesn't crash or freeze. What do I think about the scalability of the solution? I'm not sure, however, it is my understanding that the solution can scale. We are kind of odd in the fact that we have several different file shares. It's hard to gauge how widely used this particular product is used. Whoever wants to use it, it uses it. It's probably strange for most companies. I would imagine most companies don't do it that way. How are customer service and support? It is my understanding that support is good. I use Box more than I use ShareFile, however, overall in the company, I'm not sure of what percentage of the company uses ShareFile, and which percentage uses Box. We also have network shares, and that's really where most of the people have done their work. How was the initial setup? I'm not sure how it originally was implemented. I'm not sure if it was difficult or easy to implement. I'm not sure how many people, if any, are needed to maintain the product. What about the implementation team? My understanding is the solution was done in-house. What's my experience with pricing, setup cost, and licensing? I don't have any information in regards to licensing. What other advice do I have? We are a customer and end-user. We're using the latest version of the solution at this point. My own preference is to have one system for sharing files so that everybody's on the same page. They do have governance, which we didn't implement. However, it would be important to keep retention consistent. I did work at one point with the sales rep, and they were very informative. They helped us understand what all the different options we had for different Box products. The governance would also be a really good thing to implement along with just the enterprise version of Box. I would rate the solution ten out of ten. Box is a secure location for non-structured content including documents and PowerPoints. Box comes with its own e-signature capability. It has a very simple workflow capability that allows you to build out certain workflows that you are going to repeat on a regular basis. Box is very simple, it was designed for anyone who sits in front of a computer to be able to do advanced actions without having to go through any training or any classes. You can put together total workflows for managing inventories or doing marketing campaigns. Anywhere where content is involved, Box can do it. What is most valuable? Box has a number one feature, it is very easy to use. Millions of people have free accounts. They are already aware of the user interface, the electronic signature, the metadata and the tagging. The entire experience is not lacking in any way that you would need in a corporate environment. For how long have I used the solution? I have been using Box for five years. What do I think about the stability of the solution? Box is extremely stable, they have not been hacked or lost any data in the past seventeen years. I am very impressed with it. What do I think about the scalability of the solution? Whether you have one terabyte or two terabytes of data, your performance is going to remain the same. Box has tens of thousands of servers. Their speed for uploads and downloads and performance is standard for everyone. You are not going to get better than the next guy, no matter how big your company grows or how many people you have in your company. It is not going to be slow for any of your customers. How are customer service and support? Technical support is better than their competition because I have had experience with both. If you are in a critical situation, and you have the right support contract with them, you will get immediate results. But if you try to go on the cheap side, you might have to wait physically for someone to respond by calling you. So that all depends on what kind of package you buy. The cost averages around thirty five dollars a month. There are no additional costs on top of that. They house all your data and they use all of their hardware and their equipment, and that is why it is thirty five dollars a month per person. You do not have to buy any of the hardware and you do not have to do anything on the back end. How was the initial setup? The initial setup for an organization is under two minutes. And that is even if they go with an unlimited amount of storage. The implementation as far as your governance of the site itself and who's going to have access depends on the size of the organization and how detailed they are. That could take from two to six weeks to iron out the details and then activate it to enterprise. The setup environment with all the securities and encryption, takes about two minutes. What was our ROI? Box does have a considerable return on the investment, but not without getting into proprietary. What's my experience with pricing, setup cost, and licensing? The setup for Box is very simple it is like opening up any account. You need to know what the organization wants to do with Box. Someone has to sketch out, who is going to have what permissions, and who is going to be able to access a particular file structure. One thing that Box would benefit from is a records management component. What other advice do I have? I think the vision of the leadership in the company is amazing. More importantly it's not hackable and it's a secure, easy-to-use platform. And that's what people really want. I would rate Box a ten out of ten. We use it for files for the end user process. This is a cloud solution. In my current organization, we have over 10,000 people using this solution. I use it very extensively. Users these days are working remotely. What is most valuable? You can upload your bin, upload your files quickly, and download your files quickly. It provides a lot of other alternatives. You can use it on your own, on an iPad, or on your mobile phones whenever you wish to. What needs improvement? I would like there to be integration with Office 365. With OneDrive, you can continuously save your files over a Box folder. That is something I wish we could have. For how long have I used the solution? We utilize Savient to oversee our Box accounts, along with the associated files, folders, and Box groups. This platform serves as our central hub for storing and organizing files. Additionally, we leverage Box for seamless sharing of files with our customers, catering to these specific use cases. How has it helped my organization? There is a distinct advantage since I no longer have to transfer files via email between my company and the customer's company. This mitigates concerns related to email spoofing and DLP issues. By sharing within the customer environment, there is a sense of comfort and security, as data remains within their network. What is most valuable? The system's performance is impressive, and file sharing is notably straightforward. Accessing Box files through desktop applications enhances ease of editing and overall management. We use the solution for data storage and data collaboration. I use the solution to collaborate the documents and files with the team. Box is a kind of repository where I can share things across the organization. What is most valuable? The solution is used for data storage and any kind of visualization. Your data is secured with Box because the access is restricted. What needs improvement? The solution does not have the feature to retrieve deleted data. The solution's data security should be improved. While outsiders cannot access it, people within the organization can access the data using other tools. For how long have I used the solution? I have been using Box for the last six to seven years. What do I think about the stability of the solution? I rate the solution a six out of ten for stability. How was the initial setup? The solution’s initial setup is straightforward. What other advice do I have? If I have restricted access within an organization by keeping the data in Box, there are other applications through which I can barge into the data. If anyone wants to keep a file restricted to four people, I can access it because it's available in the cloud. I can directly access the file and pull in the data by entering the file's name. Someone from outside the organization can't access it. However, someone from within the organization who is not supposed to access the data can access it, provided it is in Box. Box is almost like a folder structure outside your system. The solution uses the cloud, and you don't need any separate storage in your system.
